1. Who is responsible for your information
DLM Motors Ltd is responsible for the customer information described in this notice. Contact us at Unit 12, Woodend Industrial Estate, Woodend Avenue, Speke, Liverpool, L24 9NB, by email at office@dlm-motors.co.uk, or on 0151 271 0109.
2. Information you provide
The booking form collects your selected service, vehicle registration, make and model, preferred date and drop-off period, name, email address and telephone number. You can also provide optional notes about the vehicle or work required. We may receive further details when you phone, email or arrange work with us. The website booking form does not collect payment card details. Please keep notes relevant to your vehicle and do not include sensitive personal information.
3. Why we use your information
We use these details to respond to enquiries, prepare quotes, assess the work requested, arrange and confirm appointments, contact you about your vehicle, and deal with service or warranty concerns. Booking messages are service communications. The form does not subscribe you to marketing.
4. Our lawful bases
We use information to take steps you request before entering a service contract and to carry out work agreed with you. Where applicable, we also rely on our legitimate interests in managing enquiries, preventing misuse and resolving complaints, and on legal obligations for records we are required to keep. You can ask us for more information about the basis relevant to your information.
5. Form submission and service providers
This version of the booking form sends your submission through FormSubmit to the workshop email address. FormSubmit processes the details to deliver the request and an automatic acknowledgment. Its documentation says submissions are retained for 30 days; this is separate from copies received by the workshop. Read FormSubmit’s privacy information for its handling of data and cookies. Website hosting and email providers also process information needed to deliver their services, such as connection and security information. Workshop staff use booking information to deal with your request. Information may also need to be shared where required by law or to resolve a dispute.
6. How long information is kept
We keep enquiries and booking information for as long as needed to deal with the request and related correspondence. Where work is carried out, relevant records may be needed for the job, warranty, accounting obligations or a dispute. Retention depends on those purposes and applicable legal requirements; information should be deleted or anonymised when no longer needed. Contact us to ask about the retention period for a particular record.
7. Cookies and external services
The supplied website code does not add analytics, advertising cookies or browser storage for booking details. Your hosting provider may use security technologies. Submitting the form takes you to FormSubmit, which may use cookies and a verification service under its own policies. External links, including maps, are operated by their respective providers.
8. Your rights
Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, or request a portable copy. You have a right to object where information is used on the basis of legitimate interests. These rights have legal exceptions. Contact office@dlm-motors.co.uk to make a request; we may need to verify your identity. If you have a concern, please contact us first. You can also complain to the Information Commissioner’s Office (ICO).
9. Availability messages and changes
An automatic acknowledgment does not confirm an appointment. The workshop must confirm your booking. This form does not make a final appointment decision based solely on automated processing. If we change the form, connect calendar scheduling or change how personal information is used, this notice will need to be updated. Contact us for information about the locations and safeguards used by our service providers before submitting details if this is important to you.
